A few details about the role:

We are looking for an experienced Chief of Staff and Project/Account Manager to support our CEO at our Yonge and Lawrence office. You will be part of our Home Team, a group of dedicated, hard-working people who are committed to heightening individual and collective capabilities to elevate the client experience.

In this role, you will be a thought partner and sounding board for our CEO. You will manage the CEO's client projects in the role of Project/Account Manager, and you will work directly with C-suite clients and their teams. This role provides unique exposure to all aspects of the CEO's role with an eye to developing the successful candidate to ultimately take on a broader leadership role in the Firm and with clients. Responsibilities

  • Be a thought partner, confidante, and sounding board to the CEO.
  • Manage all aspects of the CEO's schedule and calendar to maximize productivity, delegating administrative tasks as appropriate.
  • Assess situations and determine the appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and enabling them to focus on business priorities.
  • Elevate pertinent issues in an organized, succinct manner.
  • Attend client meetings with or instead of the CEO or other leaders.
  • Anticipate and organize for CEO's needs in advance of meetings.
  • Complete projects by assigning work to appropriate individuals, on behalf of the CEO.
  • Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Research topics and summarize/document on an as required basis.
  • Support the Head of Talent and the execution of our talent strategy.

Qualifications & Attributes

Account/Project Management
  • Manage multiple client projects from inception to close.
  • Develop/manage project scope, related schedules/project plans, create budgets that ensure profitability on engagements, and identify project resource requirements.
  • Launch programs simultaneously in a fast-paced environment.
  • Leverage project management software (Mavenlink) to create and monitor project plans, monitor budgets, and drive status reporting.
  • Drive continuous improvement and efficiency in project management by fully leveraging investments in technology and software.
  • Support the development of a strong, trusted relationship between the client and Impact Coaches through effective project management and delivery.
  • Own responsibility for managing a defined list of clients.
  • Oversee and participate in development and response to RFP's.
Technical Skills
  • University degree (Arts or Business preferred)
  • At least 5 years of experience as an EA or Chief of Staff managing a busy executive, ideally in professional services.
  • Excellent English communication skills (in person, by phone, through email, and formal writing skills)
  • Experience managing projects at an intermediate level.
  • Experience using project management software and MS Teams, coupled with the interest and curiosity to get more from them to optimize project management.
  • Skilled in creating visually engaging and effective presentation material.
  • In-depth understanding of MS Office suite and aptitude for learning and mastering innovative technology
  • Coaching skills
  • Client relationship management skills
  • HR or OD background is an asset.
  • Bilingual in French/English is an asset.
